What import & export management is

This is operational coordination of your international trade flows: incoterm selection, commercial and customs documentation, coordination with freight forwarders and customs brokers, and shipment tracking through to destination. The goal is predictable movement of goods, with clear costs and timelines from origin.

The problem it solves

Incoterm mistakes, incomplete documentation, or poor coordination between supplier, carrier and customs lead to delays, unexpected costs and held shipments. Many companies handle this reactively — fixing problems after they've already happened instead of preventing them.

Who this is for

For companies already importing or exporting with some regularity that need to formalize the process, or that are about to run their first international operations.

  • Companies importing product or raw materials from international suppliers
  • Exporters needing to coordinate outbound documentation and logistics
  • Companies looking to review and optimize the incoterms they currently use
  • Businesses about to complete their first import or export operation

How it works

  1. 01

    Current flow review

We assess how you handle import or export operations today and identify points of risk or unnecessary cost.

  2. 02

    Incoterm definition

We establish the most suitable incoterm for each operation based on the risk and cost split that works for you.

  3. 03

    Documentation coordination

We prepare and review the commercial and customs documentation required for each shipment.

  4. 04

    Logistics coordination

We work with freight forwarders and customs brokers to coordinate transport, clearance and delivery.

  5. 05

    Tracking through to destination

We give you visibility into shipment status and resolve issues along the way.

What's included

  • Incoterm definition and review per operation
  • Preparation and review of commercial and customs documentation
  • Coordination with freight forwarders and customs brokers
  • Shipment tracking from origin to destination
  • Logistics and customs issue resolution
  • Recommendations to optimize cost and lead time

Risks it reduces

  • Goods held at customs due to incomplete documentation
  • Unexpected freight or duty costs from a poorly chosen incoterm
  • Delays caused by poor coordination between supplier and freight forwarder
  • Losing visibility into the real status of a shipment
  • Depending on a single customs broker with no external oversight

Why VANTORA

We don't replace your freight forwarder or customs broker — we coordinate the whole chain so documentation, incoterms and logistics stay aligned from origin, with a single point of control.

Frequently asked questions

Do you replace our freight forwarder or customs broker?

No. We work alongside them, coordinating the process and bringing judgment on incoterms, documentation and planning, so the whole chain stays aligned.

Can you help with a single one-off shipment?

Yes, although the greatest value comes from structuring the process for recurring operations, since it prevents the same problems from recurring on future shipments.

Which incoterm do you recommend?

It depends on the product, volume, market and the risk split you're comfortable with. We evaluate it case by case before recommending a specific incoterm.

What is landed cost and what does it include?

It's the true total cost of a product delivered to destination, not just the purchase price: product price, transport to the point of departure, export procedures, international freight, insurance, duties and customs charges, transport to destination, and other costs specific to the operation. Calculating it before you import avoids surprises in your final margin.

Do we need cargo insurance to import or export?

It depends on the incoterm chosen and the value and nature of the goods. When it applies, we coordinate cargo insurance with specialized operators as one more line item in the landed cost.
